Job Description

The Administrative/HR Assistant is responsible for greeting visitors and delivering exceptional customer service assistance. This entails answering calls and fielding/redirecting them accordingly, addressing visitor questions and needs, and providing an overall welcoming environment. Provides administrative/secretarial support to the Administrator, Human Resource Director, and other Department Heads. Performs other duties as required.

ESSENTIAL FUNCTIONS:
  • Greets clients, visitors, and guests; determines the purpose of each persons' visit and directs or escorts him or her to the appropriate location.
  • Answers, screens, and directs phone calls to other employees; takes messages and schedules appointments.
  • Receives mail, documents, packages, and courier deliveries and contacts recipient, notifying them of the delivery.
  • Performs administrative and clerical support tasks.
  • Performs basic filing and recordkeeping.
  • Acts as Coordinator for the Emergency Preparedness Committee.
  • Assists the HR Director by conducting new employee orientations and other HR administrative duties.
PHYSICAL DEMANDS:

Work performed is generally within the sedentary range as defined by the United States Department of Labor.


JOB QUALIFICATIONS:
  • High school diploma or equivalent.
  • Minimum one (1) year general office experience or equivalent.
  • Excellent interpersonal and customer service skills.
  • Excellent organization skills and professional attitude and appearance.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.
  • Hands-on experience with office equipment (e.g., fax machines and printers).
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Demonstrated common sense, judgment, communication skills, and the ability to maintain confidentiality.
