POSITION OVERVIEW

The Assistant Controller is responsible for leading all accounting functions, annual audit, 990 completion, general ledger, cash management, accounts payable/receivable, payroll allocations, investments, fixed assets, ensure compliance with General Accepted Accounting Principles (GAAP), and produce monthly financial statements and other financial reports.

Function

Responsible for the oversight of all day-to-day accounting and reporting activities. With 2 direct reports, oversee accounts payable/receivable, aspects of payroll, and generate financial statements and other reports as needed. This leader will ensure NYSCI has the appropriate systems and procedures in place to support sound audits, treasury management, and the development and maintenance of accounting practices and procedures to ensure compliant and timely financial reporting.

PRINCIPAL RESPONSIBILITIES
  • Manage the day-to-day operations of accounting, reconciliations, accounts payable/receivable, aspects of payroll, and maintain internal controls. Oversee revenue, accounting, purchasing cards, vendor maintenance, and fee assessments.
  • Prepare monthly payroll and benefits allocations, investment allocations, capitalization/depreciation, and other accounting entries. Prepare annual year-end accruals, allowance for doubtful account calculations, pledge discount, inventory count, and cost of sales calculation.
  • Hands-on manager responsible for the review of all accounting transactions posted to the general ledger.
  • Oversee all accounts, ledgers, and reporting systems ensuring compliance with appropriate GAAP standards and regulatory requirements and Museum policies and procedures.
  • Serve as the staff liaison for the external audit, addresses queries from the auditors, manage the preparation of the audited financial statements, single audit, and annual 990 tax return.
  • Manage monthly, year-end closings and present financial statements accurately and timely, in accordance with GAAP, federal, state, city and other supplementary schedules and information. Clearly communicate monthly, quarterly, and annual financials internally and during the Finance, Audit, and Risk Committee Meetings.
  • Manage the preparation of tax reports such as 1099s, 990s, 1042s, and state sales tax forms with timely remittance. Prepare monthly payment requests for city appropriations and other reports as required.
  • Oversee and manage organizational cash flow forecasting and reporting. Manage the receipt, disbursement, banking, protection, and custody of funds, securities, and financial instruments.
  • Partner with the CFO to design, develop and maintain financial information systems that allow standardized processes and improve financial monitoring and forecasting capabilities.
  • Identify process inefficiencies and work with vendors, end-users, IT and Finance staff to develop technical solutions for financial systems. Provide training and support to ensure personnel can fully utilize systems available.

  • Perform special projects and other duties as required.

Education & Professional Experience

  • BA or equivalent level degree in accounting; CPA (required)
  • Seven to eight (7-8) years of progressive accounting experience.
  • Strong working knowledge and understanding of general business and accounting, including budget development, financial reporting, GAAP, cash management, nonprofit finance and accounting regulations, business taxes, and banking.
  • Knowledgeable of accounting systems and systems implementation; knowledge of MIP Fund Accounting a plus. Must be proficient in Microsoft Office.
  • Strong analytical and technical skills; highly organized, efficient, with outstanding attention to detail.

  • Ability to build strong relationships cross-functionally, demonstrating strong collaboration skills and the ability to communicate clearly and persuasively across all teams and cultures.
  • Hands-on strategic thinker who will own, in partnership with the CFO, the responsibility for accounting operations and develop best practices.
  • Strong interpersonal and communication skills; experience in effectively communicating key data and presentation of financial information.
  • Must maintain confidential and sensitive information.
  • Proven ability to identify priorities within multiple assignments in a high-pressured, short deadline environment.
  • Possess the ability to translate complex financial concepts to individuals at all levels including finance and non-finance managers.
  • Experienced in managing banking relationships to ensure banking services are effective and adequate; track investments and endowments and notify the CEO and CFO of maturing investments to get direction on reinvestment and make the appropriate entries.
