Position Summary:
The Facilities Manager is responsible for ensuring the Credit Union's building systems and equipment are functioning properly and are maintained in excellent condition. This role involves managing a team, overseeing contractor relationships, handling maintenance needs, and ensuring the overall upkeep and functionality of the facilities.
Key Responsibilities:
Staff Management: Hire, train, schedule, and manage the performance of direct reports. Conduct regular performance reviews, allocate resources to meet operational needs, and approve, deny, or modify departmental recommendations from subordinates.
Contractor Compliance: Oversee and ensure compliance for all contracted services, including but not limited to landscape, janitorial, HVAC, carpet, elevator, and snow removal. Ensure contractors meet the Credit Union’s standards and contractual agreements.
Work Order Management: Schedule maintenance and building staff to respond to written work orders in a timely manner. Coordinate and communicate response schedules with department managers.
Inventory Management: Maintain an adequate inventory of maintenance products and supplies used across all buildings to ensure readiness for any maintenance tasks.
Project Oversight: Supervise building-related projects, coordinating the completion of tasks and resolving issues or challenges with contractors as needed.
Budget Management: Develop and manage the annual facilities budget, ensuring all expenditures are within financial guidelines.
Maintenance Communication: Communicate with department managers regarding the need for ongoing maintenance and repair. Schedule regular maintenance visits and follow up to ensure timely completion of repairs.
HVAC & Systems Maintenance: Ensure all building systems, including HVAC, are functioning properly. Oversee necessary repairs and coordinate with appropriate personnel to keep systems in working order.
Emergency Response: Respond promptly to emergency calls or pages from staff for urgent assistance, troubleshooting and resolving issues as needed.
Bid Specifications: Prepare and manage bid specifications for Credit Union facility projects and maintenance services.
Other Duties: Perform other job-related tasks as assigned by management
Qualifications/ Education/ Experience/Personal Characteristics :
- Three to five years of similar or related experience in facilities management
- Prior supervisory experience
- Good written and oral communication skills
- Strong attention to detail
- Ability to plan, organize, and handle multiple priorities and stressful situations
- Ability to work branch hours as needed, and ability to travel to site locations.
