JOB SUMMARY: The purpose of Office Assistant is to assist with general office processes. Additionally, serves as the first point of contact for visitors and callers, and will direct them to the appropriate party. Serves as office receptionist; greets, screens and directs callers and visitors to appropriate office or individual. Will also be responsible for helping with an array of departmental notifications and publications. ESSENTIAL JOB DUTIES: Ensure kitchen is stocked with food and supplies, and assist with general upkeep of the kitchen Manage office supplies including having supplies on hand and ordering as necessary. Ensures conferences rooms are cleaned and stocked pre and post meetings Stocks office supplies throughout the office Answering phone calls in a polite and professional manner, route calls to appropriate parties Receiving and welcoming visitors. Shipping and receiving packages. Other duties may be assigned. QUALIFICATIONS The qualifications listed below are representative of the elements required to perform the job successfully, however in some cases, an equivalent combination of Education, Training, Certifications and Experience may meet the job qualifications. Education, Training, Certifications: High school Diploma, or equivalent, required. One to two years of college level courses leading to an associate's degree in business, secretarial science or a related field is preferred. Experience, Knowledge, Skill Requirements: 1-2 years of professional office work experience as an office assistant. Strong organizational skills and interpersonal/communication skills; must be able to manage and prioritize multiple business objectives and projects with the proper sense of urgency. Communication Skills: Must have the ability to effectively read, write and communicate in English with employees and customers. Systems and Software Skills: Strong proficiency in Microsoft Office (Excel, Word, Outlook). Other Qualifications: Valid driver's license with acceptable driving record required. Must be able to comply with SFPH's Drug and Alcohol policy and Background screening requirements, which may also include customer specific requirements based on contractual agreement.
